Until the intervention report reaches the after-sales department, the back office has no precise view of where the work stands, and the customer report is on hold.

The Synoptic ERP After-Sales Service module now extends into a field service app dedicated to on-site teams, available as an option. Technicians find their schedule, record their intervention and close it in front of the customer, all from a simple web browser.

In a nutshell: Synoptic ERP offers an optional field service app for after-sales and worksite interventions. Technicians use it to check their schedule, record their intervention and close it in front of the customer from a web browser, with every action reflected immediately in the ERP.

1. What a field service app changes for your on-site teams

The After-Sales & Worksite web app is an extension of the Synoptic ERP After-Sales Service module: it does not duplicate data, it gives access to the same information from the place where the intervention happens. The guiding principle is simplicity. Features have been limited to what a technician needs on site, so that everything can be done with a fingertip.

Five things that change day to day

No roll-out to organise
The app opens in a web browser, on a smartphone, a tablet or a desktop computer. There is nothing to install on devices and no updates to push across the mobile fleet.
The right scope for each role
Each field worker logs in with a personal user ID. Team leaders follow their whole team, technicians only see their own interventions. Every entry is therefore linked to an identified person.
Data entry designed for the field
Checklists are ticked, frequent notes are inserted in one click, and comment fields accept voice dictation. A technician whose hands are busy or who is working outdoors does not have to type out a text.
The right documents, already there
The after-sales department attaches the necessary documents and photos beforehand, for example the picture sent by the customer when they called. On site, technicians view them and add their own, which are time-stamped. They can delete their own additions, never those of the back office.
No more reports to re-enter
The app stays synchronised with the ERP at all times: what is done in Synoptic ERP is pushed to the phones, and what is done in the field comes straight back. The report no longer has to be re-entered after the round.

Worth knowing: the app works online only. A network connection is required during the intervention. This is the deliberate trade-off for instant synchronisation, and it is worth checking on rounds that cross areas with poor coverage.

2. From schedule to closing: the journey of an intervention

An intervention starts in one of two ways: a scheduled preventive maintenance visit, or a ticket opened at the customer's request. In both cases, the back office prepares, the technician carries out and records the work, and the information flows back.

The four steps for the technician

Check the schedule: by week or by date, with the customer, the time slot, the work order number and the status.
Start the intervention: geolocation and route guidance launch from the intervention sheet, and taking charge of the job switches its status from "to do" to "in progress".
Record and document: follow-up checklist set up beforehand, with mandatory or optional items, dictated notes and time-stamped photos.
Close in front of the customer: a second checklist, outstanding work, a comment, then the customer's signature on screen, or a record that the customer was absent or the appointment was missed.

Nothing to confirm at the end: every tick and every comment is saved as you go. An intervention that is interrupted and then resumed keeps everything already recorded.

3. Field app or customer portal: two tools, two audiences

Synoptic ERP also offers an after-sales portal open to your customers. From a distance the two tools look alike, but they meet different needs, so it is best to make the distinction clear from the start.

The After-Sales & Worksite web app
Designed for your technicians and team leaders
Schedule, intervention sheet, checklists and photos on site
Closing with the customer's signature on screen
Permanent synchronisation with the After-Sales Service module
Requires a network connection during the intervention
Offered as an option, not included in the After-Sales Service module
The after-sales customer portal
Designed for your customers
Access to documents relating to their equipment
Ticket creation to report an incident or request information
Scope limited to your customers' documents and tickets

4. Questions to ask before rolling it out

Roll-out is light, since there is nothing to install. Three points, however, should be settled before the first equipped round.

Three questions to settle beforehand

Do your intervention areas have mobile network coverage?
Good answer: the poorly covered areas on your rounds have been identified, and a procedure is in place for those cases.
Warning sign: the question comes up on roll-out day, on a site with no coverage, with a customer waiting.
Who prepares the checklists and the attached documents?
Good answer: the after-sales department has appointed who sets up the follow-up and closing checklists, and who attaches documents before the intervention.
Warning sign: nobody owns the setup, and technicians arrive on site with empty checklists.
Are user profiles and scopes defined?
Good answer: each field worker has a personal user ID, and the scope of their profile matches their actual role in the field.
Warning sign: user IDs are shared between several technicians, which makes intervention traceability unusable.

FAQ: the After-Sales & Worksite web app

What is the Synoptic ERP After-Sales & Worksite web app?

It is a field service app built on the Synoptic ERP After-Sales Service module, designed for on-site teams. Technicians use it to check their schedule, record their intervention and close it on site. Every action carried out in the field instantly triggers the corresponding action in the ERP, with no re-entry back at the office.

Does the app need to be installed on smartphones?

No. It opens in a web browser, on a smartphone, a tablet or a desktop computer. There is no app to install on devices and no updates to push across the mobile fleet.

Does the app work without a network connection?

No. It works online only: a network connection is required during the intervention. This is the counterpart of permanent synchronisation with the ERP, as every action by the technician is reflected immediately in Synoptic ERP.

What is the difference between the After-Sales & Worksite app and the after-sales customer portal?

The customer portal lets your customers view documents relating to their equipment and open tickets. The After-Sales & Worksite web app is designed for your internal teams, to check the schedule, record interventions and close them on site.

Can technicians delete the documents and photos attached to an intervention?

They can only delete what they added themselves. Documents and photos attached beforehand by the after-sales department, for example a photo sent by the customer, stay in place. Photos taken on site by the technician are time-stamped.

How is an intervention closed in the field?

Closing relies on a second checklist, separate from the follow-up checklist and tailored to the type of intervention or to the customer. The technician adds the outstanding work and a comment, then collects the customer's signature on screen. If the customer is absent although the intervention did take place, or if the appointment was missed, the case is recorded as such.

Is the app included in the Synoptic ERP After-Sales Service module?

No, it is offered as an option. The Synoptic ERP After-Sales Service module can be used without it: the app extends its features into the field.

To conclude: after-sales service happens as much in the field as in the office

The quality of an after-sales service is measured in two places: how quickly requests are handled, and how accurately the report that goes back to the customer reflects the work. The first depends on the back office and the ticketing tool. The second is decided on site, when the technician packs up their tools.
